We are pleased that you are interested in us and have applied or are applying for a position in our company. Below, we would like to provide you with information on how we process your personal data in connection with your application.

Which data do we process? And for what purposes?

We process the data you have provided to us in connection with your application in order to assess your suitability for the position (or, if applicable, other open positions within our companies) and to conduct the application process.

Where we consider it necessary for filling the position, it is possible that we may also obtain personal data about you from third parties. This may include, for example, internet research or research on social media platforms (e.g. LinkedIn, XING). In this regard, we refer to the additional notes at the end. Any further information that may be required under Art. 14 GDPR will be provided to you separately, if necessary.

On what legal basis is this based?

The primary legal basis for processing your personal data during the application process is Art. 6 para. 1 lit. b GDPR.
Accordingly, data processing is permitted when it is necessary in connection with the decision to establish an employment relationship.

Should the data be required after completion of the application process for the purpose of legal prosecution, data processing may take place based on the conditions of Art. 6 GDPR, in particular to safeguard legitimate interests under Art. 6 para. 1 lit. f GDPR. Our legitimate interest then lies in the assertion or defense of legal claims.

If special categories of personal data within the meaning of Art. 9 GDPR (e.g. health data) are processed, the legal basis is § 26 para. 3 BDSG and/or Art. 9 para. 2 lit. b GDPR in conjunction with Art. 6 para. 1 lit. b GDPR.

How long are the data stored?

Applicant data will be deleted after 6 months in the event of a rejection.

If you have consented to your personal data being stored for a longer period, we will include your data in our applicant pool. There, the data will be deleted after two years.

If you are offered a position during the application process, the data from the applicant management system will be transferred to our HR information system.

To whom are the data disclosed?

We use a specialized software provider for the application process. This provider acts as a service processor on our behalf and may gain access to your personal data in connection with system maintenance and support.

We have concluded a data processing agreement with this provider to ensure that data processing is carried out lawfully.

Upon receipt of your application, your applicant data will be reviewed by the HR department. Suitable applications are then forwarded internally to the department managers responsible for the respective open position. The further process is then coordinated. Within the company, only those individuals who require access to your data for the proper handling of the application process have such access.

Please note that we may also forward your application documents to our subsidiaries, provided suitable open positions exist there. Naturally, this is done exclusively in compliance with applicable data protection regulations.

Where are the data processed?

The data is processed exclusively in data centers located in the Federal Republic of Germany.

Your rights as a “data subject”

You have the right to obtain information about the personal data we process concerning you.

If you submit a request for information that is not in writing, please understand that we may require proof to verify that you are the person you claim to be.

Furthermore, you have the right to rectification or deletion or to restriction of processing, insofar as you are legally entitled to do so.

You also have the right to object to processing within the framework of legal requirements. The same applies to the right to data portability.

You have the right to lodge a complaint with a supervisory authority for data protection regarding the processing of your personal data by us.

If we process personal data about you during the application process that we did not obtain directly from you, the following additional information applies:

Categories of data that we may process in this context include information about you that is publicly available on the internet or obtainable from social media platforms (e.g. LinkedIn, XING). They may also include data concerning previous employment relationships. The legal basis for this processing is Art. 6 para. 1 lit. f GDPR, with our legitimate interest being to identify the most suitable applicants for the respective positions.

If we process personal data about you that we did not collect from you directly, we will inform you separately about the source of the personal data, unless you are already aware of this information.
